Patron Database Registration

  • All entries are made in capital letters.
  • No punctuation is used.

TO BEGIN PROGRAM:

  1. Turn on the microcomputer.
  2. When the prompt USERNAME: appears type in the username for your circulation account.
  3. Press RETURN.
  4. Now the prompt PASSWORD: will appear.
  5. Type your password and press RETURN.
  6. At the Circulation Main Menu, type 4 for Miscellaneous, and press RETURN.
  7. At the Miscellaneous Menu, type 1 for Borrower Full Registration, and press RETURN.
  8. At the Borrower Full Registration Menu, type 2 for Add New Borrower, and press RETURN.

ADDING REGISTRATIONS:

  1. ID#:Leave blank. Press RETURN.
  2. Title:Only used for the abbreviation for Reverend (REV), Doctor (DR), or Sister (SR). Otherwise leave blank. Press RETURN.
  3. First:Type first name. Press RETURN.
  4. Middle:Type middle initial. No period. Press RETURN.
  5. Last:Type last name. Press RETURN.
    EXAMPLES: AL-GHAMIDI-enter as AL GHAMIDIPRICE-WATERS-enter as PRICE WATERSCAROL BROWN HUGHES-enter as BROWN HUGHES if patron uses both names as last name. Enter as HUGHES if only uses one name as last name. Enter BROWN in the middle name field. If uncertain, make a judgment call.O'BRIEN-enter as OBRIENMAC NICHOLS-enter as MACNICHOLSVAN DE HEY-enter as VANDEHEY
  6. Suffix:Type suffix. No punctuation. Press RETURN.
    EXAMPLES: Junior-enter as JRSenior-enter as SRI, II, or III-enter as I, II, or III
  7. C/O:Leave blank. Press RETURN.
    NOTE:The cursor will now skip to field 9 (Street). You will have a chance to enter data in field 8 (Company name) when the cursor reaches the end of the page on the screen.
  8. Company name:Used only for business cards. Enter the name of the company/business. Otherwise, leave blank. Press RETURN.
  9. Street:Enter street address. No abbreviations (one exception-see #5. below), no punctuation. Press RETURN.

  10. Blank field:Leave empty. Press RETURN.
  11. City:If city is correct, press RETURN. If not, type in correct city and press RETURN.
  12. State:If state is correct, press RETURN. If not, type in correct state abbreviation and press RETURN.
  13. County:If county code is correct, press RETURN. It not, type in correct code and press RETURN.
  14. Zipcode:If city is correct, press RETURN and the program will automatically fill in the corresponding zipcode.If the city is not correct, type in the appropriate city name and zipcode and press RETURN.
  15. Country:Leave blank. Press RETURN.
  16. Valid from:Leave blank. Press RETURN.
  17. Previous address:Leave blank. Press RETURN.
  18. SSAN: Social Security #. Leave blank. Press RETURN.
  19. Birthday:Type birthdate with slashes between month/day/year.Use numbers only, no letters. Program must have 4 numbers for the year. Press RETURN.
    EXAMPLES: October 7, 1951-enter as 10/7/1951.June 14, 1989-enter as 6/14/1989.
  20. Expir. Date:Type in original date card expires. Type with slashes between month/day/year.
    Reg. Date:Use today's number for the day. Use numbers only, no letters. Program must have 4 numbers for the year. Press RETURN. Program automatically fills in Registration Date.
    NOTE: If the card has an expiration date that is past, type in tomorrow's date.
  21. Stat. Cat. 1:2:Press RETURN twice. Program fills in zeroes.
  22. Phone:Type phone number without a dash or spaces. Enter area code only if different from your area's. Program automatically fills in local area code . Press RETURN.
  23. Student ID:Leave blank. Press RETURN.
  24. Driv. License:Leave blank. Press RETURN.
  25. Verified:Press RETURN.
  26. Item Limit:Press RETURN. Program pulls number from policy file.
  27. Manual delinq: Press RETURN to set registration NOT delinquent. Program automatically fills in N.
  28. Fine exempt:Press RETURN to set registration NOT exempt from fines. Program automatically fills in N. Type Y and press RETURN to set registration exempt from fines.
  29. Notice exempt:Press RETURN to set registration NOT exempt from receiving notices. Program automatically fills in N. Type Y and press RETURN to set registration exempt from overdue and reserve notices. (THIS IS NOT RECOMMENDED! )
    NOTE: The cursor will now skip to field 31 (Home branch). You will have a chance to change field 30 when the cursor reaches the end of the page on the screen.
  30. Lbry System:Automatically defaults to your system.

  31. Home branch:Press RETURN. Program automatically fills in the agency code based on who is logged on to that computer.
  32. Reg. Branch:Press RETURN. Same as #31.
  33. Qualifier:Press RETURN to accept the default letter.Type in the appropriate qualifier if it is different from the default, and press RETURN.
  34. Class:Press RETURN to accept the default.
  35. Read Class:Press RETURN to enter A.
  36. Language:Press RETURN. Field remains blank.
  37. Card Lost:Press RETURN. Field remains blank.
  38. Film:Press RETURN. Program automatically enters N.

Now the cursor will appear at the bottom of the page at the prompt Any change (Y/N)?. You must answer Y or N. If you CTRL-Z all information you have entered is lost!

ANSWERING NO:

If you do not need to make any changes, type N, and press RETURN.

Now the system will search for any matches on the patron's name and address. If there is a match it will appear on the screen. (See instructions on the next sheet for handling matches.)

If there are no matches, the message (2) Other addresses: will appear. Type 2 and press RETURN.

ANSWERING YES:

If you wish to change or correct any of the fields, type Y, and press RETURN.

Now the system responds with the prompt What number? Enter the number of the field you wish to change, and press RETURN.

When you have finished making changes, press RETURN at the prompt What number? The program returns the cursor to the prompt Any change? Type N, and press RETURN.

Now the system will search for any matches on the patron's name and address. If there is a match it will appear on the screen.(See instructions on the next sheet for handling matches.)

If there are no matches, the message (2)Other addresses : will appear. Type 2. Press RETURN.

HANDLING MATCHES

A match is a registration already in the computer that has the same name or address as the registration you are entering.

If a match is found, the system will display the names and addresses of the matches at the top of the screen. Check carefully to see if any of the matches are the same as the registration you are entering. Each match has a number before it. Type that number to get additional information (phone number, birthdate) about the match. Birthdate is the best indicator of whether a match is valid.

REMEMBER: A match is a registration already in the computer. It is NOT the one you are entering.

If you decide that the registration is already in the database, then type N and press RETURN. This deletes the registration you were adding.

If you decide that the match is NOT the same as the registration you are entering, then type Y and press RETURN. You will be returned to the screen you were working on, and the message (2) Other addresses: will appear. Type 2 and press RETURN.

  • Now the second screen of the patron record will appear.
  • Press the RETURN key until you reach field #36, the PIN number field.
  • Enter the last 4 numbers of the patron's phone number as the PIN number.
  • Press RETURN through the rest of the fields. The prompt Any change (Y/N)? will appear at the bottom of the page. Answer N (for No) unless you need to change the PIN number.
  • Now the message (1) Patron (4) Save: will appear. Type 4, and press RETURN.
  • The system will add the record to the database and the next blank form will appear.
