To be able to add short records to the database it will be necessary to contact Pete Hodge at 236-5273 and request to have the “barcode 2” added to your pc.
You must be logged in as your tech account when entering short records or the records will never be fully cataloged.
When it has been determined that a title does not exist on the database, a short entry will need to be added for that title.
- Click on the Title Maintenance icon

- Click on the Add Title wizard

- The property screen appears. Be sure to change library on this screen so call number records are created for your library. If books with the same type, location, etc. are being added, the copy information can be changed to reflect this. If a variety of material is being entered, it is easier to change on the vol/copy tab when editing.

Click on OK when information has been changed and the modify new title screen appears.

In the first box: Rec_type: enter the code for material being added.
a = printed material
c = scores
g = videos/DVDs
i = spoken word recording
j = musical recording
- Fill in the other appropriate fields. Enter the copyright date in the Date1 field (2004, etc.) Enter the name of your library or abbreviation in all CAPS in 049. For the 035 field, click on the Control tab, highlight the letter and number that appear in the title control #, ctrl-c, return to the Bib tab, click your cursor in the 035 field and ctrl-v. If there is no ISBN, but there is a UPC code, enter it in the 020 field. The Publisher# (field 028) can be used for music numbers from CDs and cassettes or any number on a video or DVD.

- If the material is AV, designate type in brackets after title. Examples: [DVD], [Video], [bk/cd], [bk/cass]
- When finishing entering information, move to the vol/copy tab.

- Under Call Number Info change the call number and change the owning library if needed. Under Copy info, change the type, home location, item cat 1, item cat 2 as needed and scan the barcode when cursor is in it item id field.

- Click OK

- Choose the appropriate option to Add Another Title or Close.
