Using the Address Book

The Address Book is a resource you can use to store address information and to simplify the addressing of e-mail messages. You can quickly select a recipient from an address book, thereby eliminating the possibility of entering an incorrect address.

When creating a new message, you need to tell Outlook whom you want the message to go to.

How to:

Click on the To: button:

This will bring up the Address Book, pictured below:

On the left hand side is a list of possible people to send messages to. The default will be a listing of everyone within the Winnefox Library System. In the middle, there are three buttons.

To-> is exactly what it implies. You choose the name of who you want to send the message to (on the left) and click the to button.

The Cc-> button works the same as the To-> button. It creates a carbon copy of the message and sends it to the people you choose.

The only time you would use Cc-> is when you want to send the same message to multiple people. However, Bcc-> is by far the best way to go.Let's say you send a message to 50 people. If you use Cc->, everyone who gets that message will see a list of everyone to whom you sent the message. When people start replying to that message, all of those people will be in the body of the message, and it becomes difficult to find the actual body of the message. Using Bcc-> creates a blind carbon copy of the message. In other words, the list of people getting the message is hidden, resulting in a much cleaner message.

Once you have chosen the people you want to receive your message, click OK.

This should bring you back to the Message window.You will now notice there is now a name (or names) listed in the To, Cc, or Bcc areas.Now, it's time for a subject.

Click in the text area next to Subject:.What you type here should be a short summary of what the message is about.

Click into the big white area below the subject.This is the Message window, which is where you would type your actual message.

Once you are finished, proofread your message and click on the Send button in the upper left area of the Message window:

If you have people in your Contacts, this is how you choose people from that list to send to:

To send a message to someone from your Contacts list:

Click Global Address List on the top right of the address book.

Click Contacts.

Now, the area on the left where you choose the message recipients will display the list of people from your Contacts list.
